Seasonal Ice Rental Requests

Our goal is to create a fair, community‑focused schedule that supports as many users as possible. Submitting a rental request during our intake periods outlined below gives your organization the best chance of securing ice time for the upcoming season.

Fall / Winter

September – March
Requests open in June.

Spring / Summer

April – Labour Day
Requests open in January.

Important Information

  • Submitting a request does not guarantee the same time slot as previous years.
  • We do our best to accommodate every organization and ensure fair access to the ice.
  • User groups do not own specific ice times; the LCLC manages all scheduling.

When Assigning Times, We Consider:

  • Overall community needs.
  • User group requirements.
  • Age and developmental needs of participants.
  • Scheduling balance across all programs.

Single Use & Extra Ice Bookings

Occasional, single‑use, or extra ice bookings are available throughout the year for special events or last‑minute ice times outside of regular seasonal schedules.

How These Bookings Work

  • Extra or single‑use rentals are offered only when ice is available.
  • Times may open due to cancellations or un-booked hours.
  • Requests are processed first‑come, first‑served after seasonal allocations are finalized.

Important Information

  • Even if your group has a seasonal ice time, additional or occasional bookings are not guaranteed.

Ice Rental Cancellations

  • Confirmation of an ice rental occurs when written approval is issued by the LCLC and/or payment is received.
  • The Renter must notify the LCLC of any cancellations.
  • Cancellations for regular ice rentals must be received a minimum of fourteen (14) days prior to the scheduled use.
  • Last-minute scheduling changes may be permitted provided the total ice time remains the same or is extended, and the change does not impact staffing. In these cases, the renter will not be charged a cancellation fee.
  • Cancellations for tournaments, competitions or special events which exceed five (5) rental hours must be received a minimum of thirty (30) days prior to the scheduled use.
    Cancellation Timelines:

    • More than fourteen (14) days’ notice: Full refund or account credit issued
    • Seven (7) to fourteen (14) days’ notice: 50% refund or account credit issued
    • Less than seven (7) days’ notice: No refund or credit
  • Failure to use booked ice time without prior notice will be considered a noshow.
  • No‑shows are nonrefundable and may affect future booking privileges.
  • If the facility is closed due to weather, power outage, mechanical failure, or other circumstances beyond the renter’s control, renters will receive a full refund or account credit.
  • If the renter cancels due to weather while the facility remains open, standard cancellation timelines apply.
  • Cancellation fees may be waived under limited circumstances where conditions are outside the renter’s control and significantly impact the ability to safely proceed with the booking.
    These may include:

    • Environment Canada weather warnings or official advisories to avoid travel affecting the LCLC area
    • Verified unavailability of required instructors, coaches, or supervisors due to unforeseen circumstances such as illness or injury, where their presence is mandatory for the booking and no suitable replacement is available
  • Long‑term or bulk bookings (more than 4 consecutive hours) may be governed by a separate agreement.
  • Unused ice within a contracted block is nonrefundable unless otherwise stated in writing.
  • If the user is continuously cancelling ice time, the General Manager may require prepayment for future ice rentals.
  • School based bookings will not be charged for cancellations when schools are closed due to weather on the date of the scheduled ice time.

Spring / Summer Ice Rental Cancellation Policy

  • Spring and summer bulk ice rentals (more than 4 consecutive hours) are non‑refundable once confirmed.
  • The renter remains responsible for full payment regardless of attendance, program changes, or cancellation reasons.
  • Refunds or account credits will only be issued if the facility is closed by the LCLC.

This policy applies regardless of notice provided and supersedes standard cancellation timelines
